User Management

User management encompasses various aspects of administration, but for now, let’s focus on the “Manage User” section. This feature provides a list of users and allows you to create, edit, and deactivate users within the system.

The feature is accessible only to Admin role & Support Manager account.

Accessing the Manage User Section

To navigate to the Manage User section, follow this path:

Admin role: Login into Admin account >> Home > Setting Management > User Management > All Users

User Profile Creation in Sell.do

Before creating a new user, ensure you have the following details:

  • Full Name
  • Email ID
  • Phone Number
  • Team and Sub-Team Assignment
  • User Role
  • Department Information

Creating a New User

To add a new user:

  • Click on the blue “New User” button located on the right side of the screen.
  • A form will appear where you need to fill in the following sections:
  • Personal Information: Name, Email ID, Phone Number, etc.
  • Professional Information: Team, Department, and other mandatory fields marked with an asterisk (*).
  • Once all required information is entered, click “Save” at the bottom of the form.

  • The new user will now be added to the user list.





Understanding User Status

  • Unconfirmed: The user has been created but has not yet verified their account via email. This must be confirmed as a new user, or a new email is added to the user.
  • Active: The user has successfully activated their account.

2. Editing an Existing User

To modify an existing user’s details:

  • Click on the three dots next to the user’s name and select “Edit”.
  • A profile page will open, similar to the user creation form.
  • Update the necessary details and click “Save” to apply the changes.

3. Deactivating a User

If a user has left the organization, their account should be deactivated to reassign their leads to an active user.

Steps to Deactivate a User

  • Click on the three dots next to the user’s name.
  • Select “Deactivate.
  • A form will appear, prompting you to remove the users if that user is aligned with any routing rules; fallback users and once removed from there another form appears assign the user leads to an active team member.

  • Choose the appropriate user from the dropdown list.
  • Click “Deactivate” to finalize the process.

Managing Teams in Sell.do

Overview

The Manage Team feature within User Management allows you to create, edit, and deactivate teams based on operational needs. This functionality helps in structuring teams effectively by grouping users under specific teams for better workflow management.

Team Management Functions

1. Creating a New Team

To create a new team, ensure you have the following details:

  • Team Name – The designated name for the team.
  • Team Hierarchy – The structure and reporting alignment within the organization.
  • Associated Team – If applicable, the parent team it belongs to.

Steps to Create a Team:

  • Click on the New Team button located on the right side of the screen (blue tab).
  • Enter all required details carefully.
  • Click Save to finalize the team creation.
  • The newly created team will now appear on the team list.



2. Editing an Existing Team

Editing a team allows you to modify or update its information when necessary.

Steps to Edit a Team:

  • Locate the team from the list.
  • Click on the three-dot menu next to the team's name and select Edit.
  • Make the necessary changes to the Team Profile Page.
  • Click Save to apply for updates.
  • The updated team information will be reflected in the system.

3. Deactivating a Team

Deactivating a team removes active operations while retaining its historical data.

Important Consideration Before Deactivation:

  • Ensure that there are no users assigned to the team.
  • Check under the Hierarchy Column for active users.

Steps to Deactivate a Team:

  • Locate the team you wish to deactivate.
  • Click on the three-dot menu next to the team's name and select Deactivate.

  • If no users are associated with the team, confirm the deactivation.
  • The team will remain in the list with an Inactive status.

Attendance and Availability Management

Overview

Attendance and availability management in Sell.do allows users to mark their availability or unavailability for a particular day. If a user is unavailable, they can assign a follow-up user to handle their leads for the specified period. This ensures seamless lead management and continuity in follow-ups.

Required Information

Before managing attendance and availability, ensure you have the following details:

  • Fallback User – The user to whom leads should be assigned during unavailability.
  • Availability Status – Indicating whether the user is available or unavailable.

Managing Availability

The Attendance and Availability tab displays a list of users along with their current availability status. Users can update their status as follows:

Marking a User as Available:

  • Locate the user in the list.
  • If the status is marked as Unavailable (red), click on the toggle bar.
  • The bar will turn Green, indicating that the user is now available.

Marking a User as Unavailable:

  • Locate the user in the list.
  • Click on the Green bar to change it to Red (Unavailable).
  • A dropdown menu will appear to select a Follow-up User.

  • Choose the appropriate follow-up user to ensure lead continuity.
  • Click Save to confirm the changes.




Key Considerations:

  • The Fallback User will temporarily manage the leads of the unavailable user.
  • Users can update their availability status at any time.
  • Attendance and availability settings help ensure that no lead follow-ups are missed due to user absence.





Manage Hierarchy in Sell.do

Introduction:

Hierarchy management allows the creation of a superior profile responsible for managing and monitoring users within their designated team.

Navigation Path:

Home > Setting Management > User Management > Team Hierarchy

Prerequisites for Creating a Team Hierarchy

Before proceeding with the setup, ensure you have the following details:

  • Hierarchy Name – The name for the new team hierarchy.
  • Team Assignment – The teams that will be included under the new hierarchy.

Creating a New Team Hierarchy

  • Navigate to the "Team Hierarchy" section.
  • Click on the blue "New Team Hierarchy" tab located on the right side of the screen.
  • Fill in the mandatory fields (Hierarchy Name and Team Assignment).
  • Click "Save." A flowchart-style structure will appear on the screen, representing the new team hierarchy.
  • To add child teams (teams managed under this hierarchy), click on the red plus sign within the hierarchy structure.
  • Click "Save" to finalize the setup.

Editing a Team Hierarchy

Editing a team hierarchy allows modifications such as adding or removing child teams.

  • Locate the hierarchy that requires editing.
  • Click on the three-dot menu on the right side of the hierarchy entry.
  • Select "Edit."
  • The system will open the hierarchy page, displaying the current structure.
  • Make necessary changes:
  • To Add Child Teams: Click on the red plus sign and select the required teams.
  • To Remove Child Teams: Click on the red cross sign next to the team's name.
  • Click "Save" to update the hierarchy.

Deleting a Team Hierarchy

If a hierarchy is no longer required, it can be deleted.

  • Locate the hierarchy you want to remove.
  • Click on the three-dot menu at the end of the hierarchy entry.
  • Select "Delete."
  • A confirmation pop-up will appear.
  • Click "Yes" to confirm and delete the hierarchy.

Additional Notes:

  • Deleting a hierarchy permanently removes it from the system.
  • Ensure there are no active users dependent on the hierarchy before deleting it.
  • Any modifications made to a hierarchy will impact team structures and reporting within the system.
